ABOUT PEOPLE IN NEED – PIN

PIN is a non-profit, non-governmental organization that works established in 1992 in Czech Republic. Within the 30 years of existence, People in Need has implemented relief and development aid programs in more than 40 countries. PIN has been working in Northwest Syria since 2012, providing emergency relief and early recovery support to conflict-affected communities. Programs focus mainly on Emergency Food Assistance, WASH, and Education, in addition to Early Recovery and Livelihoods activities. PIN’s contribution to the Syria humanitarian response is amongst the largest across Northwest Syria and cross-border response hubs in neighboring countries.

A recent disaster in southwest Turkey displaced residents and caused discomfort in their lives. as part of the response to the earthquake, PIN scaled-up the operations directly in Turkey. To aid those in need and those affected by the earthquake, PIN is implementing, among other, early recovery livelihood & agriculture support.

 

General Post Description

The Project Assistant for Türkiye based in Hatay with frequent travels to project locations is responsible for execution of administrative support to PIN’s programmatic activities in projects locations focusing on early recovery of rural livelihoods, primarily small-scale farmers, in Hatay province after the earthquake that hit the country in February 2023.

 

Functional and hierarchical reporting lines

This position reports to the Project Officer and closely cooperates with technical experts working on the project. He/she is frequently communicating with project beneficiaries and daily interacting with Project Officer. He/she supports also other project team members and other relevant support departments according to need (mainly MEAL and logistics).

Principal responsibilities and tasks:

Program Implementation

  • Assist the Project Officer on the day-to-day planning, management and execution of the Livelihoods & Agriculture activities in project locations, including tracking of implementation progress against the targets and providing course corrections where needed
  • Responsible for data maintenance and reporting, such as maintaining and updating beneficiary databases and ensuring reporting accurate numbers within internal reporting mechanism
  • Ensuring rigorous preparation, administration, and quality control of the relevant documents and administration (supporting documentation, attendance sheets, business proposals, invoices, photo documentation, reports from beneficiaries, contribution agreements, payment sheets, and other as needed)
  • Ensures systematic and comprehensive archiving of relevant programme documents in line with existing guidelines
  • Support relevant MEAL activities (inputs for verification tools, checklists, assessments, and similar.)
  • Helping to organize and facilitate meetings and workshops for beneficiaries focused on topics related to agriculture business development and agriculture practices at the community level
  • Assist with organizing networking events for local agriculture market actors
  • Coordinate with local authorities and other project stakeholders to ensure acceptance and support successful implementation of project activities
  • Support the reporting and documentation of the project on regular basis and in alignment with PIN and donor regulations
  • Support during registration and selection of project beneficiaries in accordance with eligibility and selection criteria – active support to beneficiaries during registration and assisting review of business plans, financial plans and scoring tools
  • Support mainstreaming accountability to affected population and the GESI strategy in every phase of the implementation
  • Coordinates with support departments in preparation of plans and specific tasks needed for smooth project implementation, prepares quality inputs for procurement team, tracks progress of programme related purchases, addresses arisen issues
  • Provides inputs for reporting (donor/cluster/internal) as per instructions of Line Manager (LM)
  • Support relevant MEAL activities (inputs for verification tools, checklists, assessments, and similar.)
  • Attend relevant meetings as assigned by the LM

Other

  • Other tasks assigned by the employee’s LM corresponding to the needs of the programme
  • Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s LM
  • Understand and adhere to the PIN’s National Staff Handbook, PIN Code of Conduct and Key Policies and relevant guidelines

REQUIRED SKILLS

  • Familiarity with the humanitarian context affecting Turkish population;
  • Applicants should be (Turkish Citizens).
  • Familiarity with program cycle management and humanitarian/emergency programming
  • Ability to work independently, and produce quality work consistently
  • Excellent IT skills – Microsoft Office applications, especially Excel (Outlook, Word, Excel), and familiar and comfortable working with data platforms and applications
  • Confident, self-driven and a team player
  • Good communication, organization and interpersonal skills with the ability to easily establish and maintain key relationships with relevant units and stakeholders
  • Accuracy and attention to detail
  • Cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures

QUALIFICATIONS

  • At minimum bachelor degree in a relevant field (humanitarian/development studies, management for non-profit, business administration, migration studies, social/humanitarian work and similar)
  • A minimum of one year of progressive experience working in a similar programmatic role for non-governmental organizations preferably in agriculture sector or livelihoods
  • Fluency in Turkish language (mandatory) and English language (min. B2)
