SRD Overview and Mandate

Syria Relief & Development (SRD) is a non-profit organization providing humanitarian aid to Syrians affected by violence, hunger, poverty, injury, and displacement. Our mission is to provide crisis humanitarian relief and plant the seeds of sustainable development for the people of Syria. Our Vision is to maintain humanitarian relief and mobilize resources to develop a comprehensive agenda for sustainable development in Syria, SRD offices in Gaziantep, Turkey, and NW Syria.

Job Summary:

The Grants Coordinator will be working with the program and operations team in Turkey.  S/He will play a critical role in the development and management of the overall grants. The Grants Coordinator will lead the efforts of respective teams to ensure well-developed and timely-submitted proposals and concept notes. The successful candidate will have significant, senior-level leadership experience in the Humanitarian Sector.

Duties & Responsibilities

1. Partnerships: 

  • Managing the assigned SRD Grants with Donors/Partners.
  • Representing SRD in Partner/donor meetings and conferences accompanied by the technical staff when necessary, presenting the work of the organization.
  • Identifying partners and funding opportunities and monitoring & maintain a relationship with partners/Donors.
  • Develop and Review all sub-grant agreements of SRD for assigned grants.
  • Carry-out Pre-award processes with donors, including Due diligence and donor’s-special checks and disclosures

2. Grant Management:

  • Ensure high-quality, compliant, and timely delivery of contractual requirements; including reports, audits, evaluations, and funding applications
  • Manage and support SRD-assigned grants implementation.
  • Work with SRD’s Program and Operations departments to identify and develop strategies to optimize the grants administration process.
  • Directly involved in grant writing by coordinating between grants, Programs, and Operations.
  • Leading any assigned grants meetings (kick-off meetings, mid-term reviews, regular meetings, project closure meetings) with program and operation departments.
  • Working with compliance to ensure project compliance with humanitarian, organizational, and donor standards and regulations;
  • Reviewing and managing all reporting deadlines, developing calendars for report development, and coordinate report compilation and review.
  • Develops and maintains a library of reference documentation, including donor’s requirements and forms, reference literature, and other pertinent material.
  • Developing and maintaining a master database for recording and tracking grants and proposals.

3.  Programs:

  • Follow up with program/project focal point on implementation and progress in activities.
  • Engaging with sector specialists to ensure project alignment with technical standards and best practice.
  • Contributing to building the capacity of grants and programming staff in key project management principles, tools, and approaches and ensuring that these new skills are utilized on the job.
  • Holding projects’ budgets during the implementation and taking necessary actions accordingly.

4. Safeguarding and PSEAH Responsibilities

  • Integrate safeguarding and PSEAH policies into all studies proposals, and project activities
  • Implement measures to protect vulnerable populations, including children, women, and the elderly.
  • Collaborate with safeguarding focal points to resolve issues and ensure adherence to international standards.

5. Operations:

  • Ensure all documentation & filing systems under the assigned project are in order;
  • Conducting weekly/monthly meetings with project staff/partners as necessary;
  • Monitoring monthly spending on ongoing & planned activities within the approved budgets.
  • Reviewing monthly financial expenditure reports with project focal points and initiating corrective action as required.
  • Any Other task requested by the direct supervisor

6. Flexibility and Additional Responsibilities:

  • Maintain flexibility to take on added responsibility as needed.

Qualifications Requirements

Education:

  • Bachelor’s degree, in business management or international development, or related field.
  • Master’s degree preferred.

Required Work Experience:

  • A minimum of 5 years of work experience, of which at least two years were in senior management positions.
  • Preferably 3-5 years of experience in Grants management and proposal writing.
  • Experience working in local and/or international NGOs or with other key stakeholders in humanitarian response (e.g., donor, UN-led cluster, another fora/platform).
  • Ability to coordinate with diverse teams effectively.
  • Able to manage a multiple-grants portfolio.

Highly Desirable Work Experience

  • Demonstrated experience working on the Syria response and/or a strong understanding of the country’s context and that of the wider Syrian crisis.
  • Knowledge of, and commitment to, humanitarian standards and codes of conduct.

Competencies and Skills:

  • Strong leadership and mentoring skills; conversant with best practices in humanitarian interventions, including adherence to international humanitarian standards and codes of conduct;
  • Extraordinary diplomacy skills.
  • Ability to work under limited supervision; self-motivated, well-organized and results-driven; communicates effectively and positively with both internal and external stakeholders;
  •   Knowledge of safeguarding and PSEAH principles and practices.
  • Excellent interpersonal skills, including personal integrity, tact, discretion, and impartiality;
  • Ability to manage stress and meet competing priorities in a timely manner, producing high-quality outcomes;
  • Competency in the use of office suites, including excel, word, outlook, etc.
  • Proficient in English and Arabic (writing –reading –speaking) –  Turkish is desired.
